## What is SopWow?

SopWow is AI that writes standard operating procedures (SOPs) from real work.
A worker records a browser task once with the SopWow recorder. SopWow's AI
writes the finished procedure, asks about anything the recording cannot
explain, and flags every claim it added until a person approves it.

- Tagline: "Do the work once. Get the SOP forever."
- Positioning: "Click loggers write down what you did. SopWow writes down what to do."
- Parent: SopWow is an Uncovered product, built by the team behind the Uncovered
  insurance transparency platform.
- Built first for: insurance agency back offices.
- Also built for: any back office whose work happens in browser-based systems,
including medical office administration, accounting and bookkeeping, law
firms, real estate and property management, trucking and freight,
construction and home services offices, staffing, nonprofits, and financial
  services.
- Platforms: a browser extension for Chrome and Microsoft Edge on Windows and
  macOS, plus a web portal.
- Contact: hello@sopwow.com

## How does it work?

1. **Record.** Start the recorder in a browser tab and do the task normally.
Only that tab is recorded, with a visible REC indicator.
2. **Answer.** SopWow asks about what a recording cannot explain, such as why an
option was chosen and what happens on the other branch.
3. **Review.** A person edits steps in plain English. AI-added claims stay
flagged until a human keeps or removes them. Nothing is final until approved.
4. **Share.** Outputs: a visual step-by-step guide with screenshots, a Word
document, a print-ready PDF, and clean Markdown for knowledge bases.

The Refine pass (Team and Business plans) adds per-step reasoning, a glossary,
decision tables, common problems, a completion checklist, and automation notes.

## What does it cost?

Pricing is per finished SOP, not per seat. **A finished SOP is one you approve.**
Drafts, rejected drafts, re-recordings, and edits do not count. Launch pricing:

| Plan | Price | Finished SOPs included | After that |
|---|---|---|---|
| Trial | Free, no card | First 3 SOPs | n/a |
| Starter | $39/month | 15 per month | $5 per SOP |
| Team | $99/month | 50 per month | $4 per SOP |
| Business | $249/month | 150 per month | $3 per SOP |
| Wholesale | Per onboarded agency | For AMS vendors and platforms | Contact us |

Every plan includes the recorder, the writer, and every export format. Team adds
the Refine pass and priority support. Business adds knowledge-base bundles and
onboarding help.

## How does it handle data?

- The recorder captures element descriptors (which button, field, and page),
not the values typed into fields.
- Data with a recognizable shape (for example Social Security numbers, card
numbers, policy numbers, emails, phone numbers, addresses) is redacted in the
browser before text is sent to an AI model, export, or sync.
- Screenshots are never sent to any AI model.
- Redaction is pattern based and can miss data, so every SOP gets a human review
  before approval.
- Customers own their SOPs and can export them in every format.
- SopWow does not claim SOC 2, HIPAA compliance, a BAA, or any other
certification. It is not a compliance tool and records work inside other
systems without integrating with them. It is browser only.

### Product pages

#### [SOP software that writes your procedures from real work.](https://sopwow.com/)

SopWow is SOP software for back-office work. A worker records a browser task the way they already do it. SopWow's AI writes the finished standard operating procedure, asks about anything a recording cannot explain, and flags every claim it added until a person approves it. It was built first for insurance agency back offices and works in any back office that runs in a browser. Your first 3 SOPs are free.

Markdown: https://sopwow.com/index.md

#### [How does SopWow turn one recording into a finished SOP?](https://sopwow.com/how-it-works)

In four steps. You record a browser task while doing it the normal way. SopWow's AI drafts the procedure and asks about what the recording cannot explain, such as why you picked an option. A person reviews the draft, keeps or removes every claim the AI added, checks for client data, and approves it. Then you export it as a visual guide, Word document, PDF, or Markdown. Only approval makes it a finished SOP.

Markdown: https://sopwow.com/how-it-works.md

#### [What does SopWow cost, and what counts as a finished SOP?](https://sopwow.com/pricing)

SopWow charges per finished SOP, not per seat. A finished SOP is one you approve: drafts, rejected drafts, re-recordings, and edits are free, and only approval counts toward your plan. Your first 3 SOPs are free with no card. Starter is $39 a month for 15 SOPs, Team is $99 for 50, and Business is $249 for 150. After the included amount, each extra approved SOP costs $5, $4, or $3.

Markdown: https://sopwow.com/pricing.md

#### [What happens to client data when SopWow records a workflow?](https://sopwow.com/security)

Less than you might expect. The recorder captures which page, field, and button you used, plus screenshots of the recorded tab. It does not capture what you type into fields. Data with a recognizable shape, such as Social Security or policy numbers, is redacted in your browser before text goes to an AI model. Screenshots never go to an AI model. Redaction can miss things, so a person checks every SOP before approval. SopWow claims no SOC 2, HIPAA, or other certification.

Markdown: https://sopwow.com/security.md

#### [What do people ask before they try SopWow?](https://sopwow.com/faq)

Mostly four things: what the recorder captures, what happens to client data, what the finished SOP looks like, and how billing works. In short: SopWow records which page, field, and button you used in Chrome or Edge, not what you typed. It redacts identifiable data in your browser, never sends screenshots to an AI model, writes an SOP with decision points, and charges only for SOPs you approve. Your first 3 are free.

Markdown: https://sopwow.com/faq.md

#### [Need an SOP template that covers decisions, not just steps?](https://sopwow.com/templates)

Yes. Below is a free SOP template in Markdown you can copy into Word, Google Docs, or a wiki. It has a title, purpose, trigger, owner, systems, prerequisites, numbered steps, a decision points table, exceptions, a completion check, and revision notes. The decision points table is the part most templates skip: it records when each option is right, what a wrong choice costs, and which choice the example took. A fully filled insurance example follows the template.

### Industries

#### [Which industries can use SopWow to document their work?](https://sopwow.com/industries)

Any industry whose back-office work happens in a browser tab. SopWow was built first for insurance agencies and has dedicated pages for ten industries, from medical offices and accounting firms to freight, staffing, and nonprofits. The one requirement is the browser: SopWow records work in Chrome or Edge. It does not capture desktop applications, remote desktop or Citrix sessions, field work, or paper steps.

Markdown: https://sopwow.com/industries.md

#### [How do insurance agencies document COIs, endorsements, and renewals?](https://sopwow.com/industries/insurance-agencies)

Record the work instead of writing it from memory. A CSR does a certificate, an endorsement, or a renewal remarket once in the browser with SopWow running. SopWow writes the procedure, asks about the decisions a recording cannot show, such as why this carrier or when a waiver of subrogation needs an endorsement first, and flags everything it added until someone at the agency approves it.

Markdown: https://sopwow.com/industries/insurance-agencies.md

#### [How do medical offices keep front-desk and billing procedures consistent?](https://sopwow.com/industries/healthcare)

By writing procedures from the way staff actually do the work. SopWow turns one recorded run of a browser task, such as an eligibility check or a claim status lookup, into a reviewed SOP. It covers admin work only. SopWow does not claim HIPAA compliance and does not offer a BAA, so talk to us before recording any workflow that shows protected health information, and use test patients or a training environment where you can.

Markdown: https://sopwow.com/industries/healthcare.md

#### [How do accounting firms document client workflows before busy season?](https://sopwow.com/industries/accounting-bookkeeping)

Record each client workflow the next time someone does it, instead of writing it from memory in January. SopWow turns one real run of a browser task, like a bank reconciliation or a state sales tax filing, into a reviewed SOP. It asks about the client-specific rules a recording cannot show, so seasonal staff get a procedure that says what to do for this client, not just which buttons were pressed.

Markdown: https://sopwow.com/industries/accounting-bookkeeping.md

#### [How do law firms document intake, filing, and billing procedures?](https://sopwow.com/industries/legal)

Record each procedure the next time staff do it in your browser-based tools. SopWow turns one run of a task, such as a conflict check, opening a matter, or an e-filing, into a reviewed SOP, and asks about the judgment calls a recording cannot show. Field values are not captured, but screenshots can show client names, so consider test matters. SopWow documents staff procedure. It is not legal advice and does not assess ethics compliance.

Markdown: https://sopwow.com/industries/legal.md

#### [How do brokerages and property managers document their transaction workflows?](https://sopwow.com/industries/real-estate)

Record each workflow once, the way your best coordinator does it, and let SopWow write the procedure. SopWow turns one browser run of a task, like entering a listing in the MLS or setting up a transaction file, into a reviewed SOP. It asks about the deal-by-deal decisions a recording cannot show, such as which checklist items a financed sale needs that a cash sale does not, and flags anything it added until your team approves it.

Markdown: https://sopwow.com/industries/real-estate.md

#### [How do trucking and freight offices document dispatch and billing work?](https://sopwow.com/industries/trucking-freight)

The person who already knows the task does it once in the browser with the SopWow recorder running. SopWow writes the procedure, asks about the calls a recording cannot explain (when a carrier packet is complete, when detention gets billed, which loads go to factoring), and flags anything it added until a person approves it. It covers back-office work in a web-based TMS, load boards, and carrier, shipper, and factoring portals.

Markdown: https://sopwow.com/industries/trucking-freight.md

#### [How do contractors document the office work between the field and the books?](https://sopwow.com/industries/construction-home-services)

The office person who already knows the task does it once in the browser with the SopWow recorder running. SopWow writes the procedure, asks about the calls a recording cannot explain (which job goes to which tech, when a change order needs a signature, when a permit is required), and flags anything it added until a person approves it. It covers office work in browser-based estimating, field service, permit, and supplier systems. Field work is not captured.

Markdown: https://sopwow.com/industries/construction-home-services.md

#### [How do staffing firms document candidate and client workflows?](https://sopwow.com/industries/staffing)

The recruiter or coordinator who already knows the task does it once in the browser with the SopWow recorder running. SopWow writes the procedure, asks about the calls a recording cannot explain (which client rules apply, when a timesheet gets held, what a submission needs), and flags anything it added until a person approves it. It covers work in a browser-based ATS, onboarding portals, VMS portals, and timekeeping systems.

Markdown: https://sopwow.com/industries/staffing.md

#### [How do nonprofits keep operations running when staff and volunteers turn over?](https://sopwow.com/industries/nonprofits)

They write the procedures down before people leave, and SopWow makes that fast enough to happen. The person who knows a task does it once in the browser with the recorder running. SopWow writes the procedure, asks about the calls a recording cannot explain (which fund a gift goes to, when a grant report needs sign-off), and flags anything it added until a person approves it. Pricing is per finished SOP, not per seat.

Markdown: https://sopwow.com/industries/nonprofits.md

#### [How do advisory, lending, and credit union teams document back-office procedures?](https://sopwow.com/industries/financial-services)

The operations person who already knows the task does it once in the browser with the SopWow recorder running. SopWow writes the procedure, asks about the decisions a recording cannot explain, and flags anything it added until a person approves it. Your compliance team still reviews and approves every procedure. SopWow is not a compliance tool and certifies nothing against any regulation or exam standard. Talk to us before recording workflows that touch regulated data.

Markdown: https://sopwow.com/industries/financial-services.md

### Workflows

#### [Which workflows should you turn into SOPs first?](https://sopwow.com/use-cases)

Start with the tasks that score highest on three things: how often they happen, how much a mistake costs, and how few people can do them. In an insurance agency that usually means certificates of insurance, endorsements, renewals, claims intake, new business setup, and cancellations. In any back office it means client onboarding, billing follow-up, vendor setup, month-end work, new-hire system setup, and anything a system migration will touch.

Markdown: https://sopwow.com/use-cases.md

### Comparisons

#### [How is SopWow different from other SOP and documentation tools?](https://sopwow.com/compare)

SopWow writes the procedure. You record one browser task, SopWow asks about the decisions a recording cannot explain, and a person approves the finished SOP. Scribe and Tango turn captured clicks into step-by-step guides. Trainual organizes and assigns training content. Loom records video. Writing by hand costs staff time instead of software. SopWow is priced per finished SOP; the others are mostly priced per seat.

Markdown: https://sopwow.com/compare.md

#### [SopWow or Scribe: which one writes the procedure for you?](https://sopwow.com/compare/sopwow-vs-scribe)

Scribe captures a workflow and turns it into a step-by-step guide with screenshots, fast, in the browser or (on paid plans) on the desktop. SopWow records a browser task, asks about the decisions a recording cannot explain, and writes a full SOP that a person must approve. Pick Scribe for quick how-to guides across many apps. Pick SopWow when the procedure needs to explain when to choose what.

Markdown: https://sopwow.com/compare/sopwow-vs-scribe.md

#### [SopWow or Tango: do you need a click guide or a full SOP?](https://sopwow.com/compare/sopwow-vs-tango)

Tango captures a workflow and turns it into a polished visual guide with screenshots and auto-written step descriptions, and its Enterprise plan adds in-app guidance and automation. SopWow records a browser task, asks about the decisions behind it, and writes a full SOP that a person must approve. Pick Tango for visual how-to guides and on-screen help. Pick SopWow when the procedure has to explain which option to choose and why.

Markdown: https://sopwow.com/compare/sopwow-vs-tango.md

#### [Do you need SopWow, Trainual, or both?](https://sopwow.com/compare/sopwow-vs-trainual)

They do different jobs. SopWow writes SOPs from real work: someone records a browser task, answers a few questions, and approves the finished procedure. Trainual is where a company organizes training, assigns it, and tracks who completed it, with its own AI drafting and screen recording. Pick SopWow if your problem is getting procedures written. Pick Trainual if your problem is rolling them out. Many teams could use both.

Markdown: https://sopwow.com/compare/sopwow-vs-trainual.md

#### [Should you document procedures with Loom videos or written SOPs?](https://sopwow.com/compare/sopwow-vs-loom)

Use video when tone and context matter: a welcome, a quick one-off explanation, or showing why a team works a certain way. Use a written SOP when people need to look something up mid-task, search it, update one step, or feed it to an AI knowledge base. Loom records video with your screen, camera, and voice. SopWow turns a browser recording into a written, searchable SOP that a person approves. Many teams need both.

Markdown: https://sopwow.com/compare/sopwow-vs-loom.md

#### [Should you write SOPs by hand or let AI draft them from the work?](https://sopwow.com/compare/sopwow-vs-writing-sops-manually)

For browser-based tasks, let AI draft from the work and keep a person in charge of approval. Writing by hand means doing the task, taking notes and screenshots, cleaning them up, and writing from a blank page. With SopWow you do the task once while it records, answer its questions, and review what it wrote. Hand-writing is still the right call for work outside the browser, judgment-heavy policies, and one-off tasks.

Markdown: https://sopwow.com/compare/sopwow-vs-writing-sops-manually.md

### Guides and definitions

#### [What should you know before documenting how your team works?](https://sopwow.com/guides)

Three things. An SOP is a written, repeatable way to do one task, and the useful ones document decisions, not just clicks. The best first SOPs are the tasks that happen often, cost the most when done wrong, and live in one person's head. And a procedure is only finished when someone other than the author can follow it. The guides below cover each of these, with or without SopWow.

Markdown: https://sopwow.com/guides.md

#### [What is an SOP, and what makes one usable?](https://sopwow.com/guides/what-is-an-sop)

An SOP (standard operating procedure) is a written, step-by-step procedure that lets anyone on a team complete one recurring task the same way, without asking the person who usually does it. A usable SOP names the task, what triggers it, who owns it, and the steps, and it explains the decisions along the way: which option to pick, when, and why. If a new hire cannot finish the task from the SOP alone, it is not done yet.

Markdown: https://sopwow.com/guides/what-is-an-sop.md

#### [How do you write an SOP someone can follow on day one?](https://sopwow.com/guides/how-to-write-an-sop)

Pick one task with clear edges, name who owns it and who will read it, and capture a real run instead of writing from memory. Write each step as one instruction, document every decision point and exception, and end with a completion check. Then have someone who has never done the task follow it, fix what trips them up, publish it where the work happens, and set a trigger for review.

Markdown: https://sopwow.com/guides/how-to-write-an-sop.md

#### [What separates an SOP people follow from one they ignore?](https://sopwow.com/guides/sop-best-practices)

An SOP gets followed when it answers the questions people actually have mid-task. That means documenting decisions, not just clicks; covering one task per SOP; naming an owner; writing for the newest person; explaining the why; and putting it where the work happens. SOPs stay trusted when versions change only for real changes, reviews follow real triggers, screenshots are current and redacted, and success is measured by use.

Markdown: https://sopwow.com/guides/sop-best-practices.md

#### [What is the difference between a process, an SOP, and a work instruction?](https://sopwow.com/guides/sop-vs-process-vs-work-instruction)

A process is the chain of activities that turns a request into a result, usually across several people. An SOP is how your team performs one task within that process, step by step, including its decisions. A work instruction is the detailed how-to for a single step, down to the screen and field. A policy sets the rule all three follow, and a checklist confirms nothing was skipped.

Markdown: https://sopwow.com/guides/sop-vs-process-vs-work-instruction.md

#### [What do SOP and process documentation terms actually mean?](https://sopwow.com/glossary)

An SOP is a written, repeatable way to do one task. Around it sit a handful of terms worth knowing: a trigger starts the procedure, an owner keeps it current, decision points and branches cover the choices, exceptions cover the cases the normal steps miss, and a completion check confirms the work is done. This glossary defines 35 terms in plain English, including the insurance back-office terms that come up most.

Markdown: https://sopwow.com/glossary.md

#### [How should an insurance agency document its workflows?](https://sopwow.com/guides/document-insurance-agency-workflows)

Start with an inventory of workflows by line of business and by role. Document first the ones that happen most often, cost the most when done wrong, and live in the fewest heads, which usually means certificates of insurance and endorsements. Have the person who does each task best record a real run. Handle carrier and account differences with decision tables instead of separate copies, name SOPs consistently, and review them whenever a carrier or the AMS changes.

Markdown: https://sopwow.com/guides/document-insurance-agency-workflows.md

#### [How do you get a new hire working on their own sooner?](https://sopwow.com/guides/onboard-new-hires-faster)

Decide what "working on their own" means for the role, then list the 10 to 15 tasks the role does most often and document those before the new hire starts. Use the first week to walk through those tasks in order, have shadowing sessions improve the SOPs instead of replacing them, give the new hire a question log so they can ask without interrupting, and judge readiness by real tasks done alone, not by quizzes.

Markdown: https://sopwow.com/guides/onboard-new-hires-faster.md

#### [What do undocumented processes actually cost a small business?](https://sopwow.com/guides/cost-of-undocumented-processes)

More than it looks, because the cost is spread thin. Undocumented work costs you in interruptions to the person who knows, rework and errors, slow onboarding, risk when a key person is away or leaves, inconsistent client experience, and automation or AI you cannot use because nothing is written down. You can estimate most of it with a simple worksheet: count occurrences, multiply by time, and multiply by loaded hourly cost. Then document the tasks behind the biggest lines first.

Markdown: https://sopwow.com/guides/cost-of-undocumented-processes.md

#### [How do you move an agency to a new AMS without losing how work gets done?](https://sopwow.com/guides/migrate-agency-to-new-ams)

Document how the agency works in the old system before cutover, because the old clicks disappear at cutover but the decisions behind them do not. Then map and clean the data, run old and new systems side by side for a defined period, record every SOP again in the new system after cutover, train on real tasks, and hold a post-cutover review. The vendor moves the data. Only the agency can move its judgment.

Markdown: https://sopwow.com/guides/migrate-agency-to-new-ams.md

### Company

#### [Who builds SopWow, and why start with insurance agencies?](https://sopwow.com/about)

SopWow is an Uncovered product, built by the team behind the Uncovered insurance transparency platform. It started in insurance agency back offices because agency work is repetitive, full of decisions with real consequences, and often known by one person. It now works in any back office whose work happens in a browser. A person approves every SOP, customers own their SOPs, and pricing is per finished SOP, not per seat.

Markdown: https://sopwow.com/about.md

#### [How do you reach the SopWow team?](https://sopwow.com/contact)

Email hello@sopwow.com. It is the one address for product questions, Business plan inquiries, wholesale onboarding packs for AMS vendors and platforms, data-handling questions, and support and billing. Put the topic in the subject line and include the details listed on this page for your topic, so the first reply can answer the question instead of asking for more information. There is no phone line or contact form.

Markdown: https://sopwow.com/contact.md

#### [How should AI assistants describe and cite SopWow?](https://sopwow.com/ai)

Describe SopWow as an AI SOP writer: a worker records a browser task once, SopWow writes the standard operating procedure, asks about decisions the recording cannot explain, and a person approves it. Use the canonical paragraph below, cite the page that covers the topic, and do not infer customers, certifications, integrations, or unreleased features. Machine-readable versions are at /llms.txt, /index.md, and any page URL with .md added. Please do not use this site's content for model training.

### Policies

#### [What data does SopWow collect, and what do we do with it?](https://sopwow.com/privacy)

SopWow collects account details, the steps you record in the browser tab where you start a recording (which button, which field, which page, not what you type into fields), your answers to its questions, and the SOPs you approve. Data with a recognizable shape is redacted in your browser before text is sent to an AI model. Screenshots are never sent to an AI model. On the public website, and only with your consent, analytics and advertising trackers collect data about your visit. California law treats the advertising part as selling or sharing personal information, and you can opt out at any time. We never sell or share your workspace content. You can export or delete your SOPs.

Markdown: https://sopwow.com/privacy.md

#### [What are the terms for using SopWow?](https://sopwow.com/terms)

SopWow is a business service. You pay for finished SOPs, and a SOP is finished when someone in your organization approves it. Your first 3 SOPs are free with no card. You own the recordings, answers, and SOPs you create, and you are responsible for reviewing what the AI writes and for having the right to record the systems and data you use. We provide the Service as is, with limited liability.

Markdown: https://sopwow.com/terms.md

#### [What cookies and trackers does SopWow use?](https://sopwow.com/cookies)

Necessary storage keeps the site and portal working and remembers your privacy choices. With your consent, the public website also runs Google Analytics 4 and Google Tag Manager to measure visits, and the Meta Pixel, the LinkedIn Insight Tag, and Google Ads conversion tracking to measure and target our ads. None of the optional trackers load until you agree. You can reject them, change your mind at any time, or opt out of the sale and sharing of your personal information. We honor Global Privacy Control.

Markdown: https://sopwow.com/cookies.md

#### [Do Not Sell or Share My Personal Information](https://sopwow.com/do-not-sell)

If you allow advertising cookies, the Meta Pixel, the LinkedIn Insight Tag, and Google Ads conversion tracking collect data about your visit to sopwow.com for advertising. California law calls that selling or sharing personal information. Turn the switch off to opt out. Your browser's Global Privacy Control signal opts you out automatically, and we never sell or share your workspace content.
