# How do medical offices keep front-desk and billing procedures consistent?

## What should you know before recording anything with patient data?

Read this section before anything else on the page.

- **SopWow does not claim HIPAA compliance.** It does not claim any healthcare-specific certification, and nothing on this site should be read as one.
- **SopWow does not offer a business associate agreement (BAA).** Whether your office needs one for a tool like this is a question for your privacy officer or counsel. Do not record live patient data until you have talked to them and to us.
- **Talk to us first.** Before recording a workflow that displays protected health information, tell us what appears on screen. We will tell you plainly what SopWow captures and what it does not.
- **Use test patients or training environments.** If your practice management system or payer portal offers a test patient or a training mode, record there. The procedure comes out the same, because the steps and decisions do not depend on whose chart is open.

## What does the recorder capture on a patient screen?

Less than a screen recording, but not nothing.

The recorder captures element descriptors: which button, which field, which page. It does not capture the values typed into fields. Data with a recognizable shape, such as Social Security numbers, card numbers, emails, phone numbers, and street addresses, is redacted in the browser before any text is sent to an AI model, export, or sync.

Screenshots are never sent to an AI model. They build the visual guide and stay in your workspace. But a screenshot of a live schedule or an eligibility response can show a patient's name, date of birth, or plan details, and pattern-based redaction does not remove those from an image. ## Which front-desk and billing workflows do offices document first?

Start with the tasks where two staff members would do it two different ways. Each item below lists the decision points a useful SOP has to cover.

- **Scheduling.** Booking new and established patients, reschedules, and waitlists. Decision points: appointment types and lengths by provider, which visits need a referral or prior authorization first, and which provider preferences the schedule has to respect.
- **Eligibility and benefits checks.** Verifying coverage in payer portals before the visit. Decision points: what to do when the plan is inactive or the member ID does not match, when another plan may be primary, and what the patient is told about their expected cost.
- **Prior authorization submissions.** Submitting requests in payer portals. Decision points: which payer requires authorization for which service, what documentation goes with the request, and who follows up when it pends.
- **Claim status and denial follow-up.** Working the aging report. Decision points: which denials get corrected and resubmitted, which get appealed, and which go to a provider or the billing lead.
- **Patient intake setup.** Creating the patient record and sending intake forms. Decision points: which forms go with which visit type, and how to handle a returning patient whose insurance changed.
- **Credentialing.** Enrolling providers with payers and keeping enrollment current. Decision points: which payer portals each provider needs, what documents each one asks for, and who tracks renewal dates.

Veterinary offices skip most payer work but have the same scheduling and intake variation. Billing services have it worst: every client practice has its own rules.

## Why do front-desk procedures drift?

Because the rules live in people, not in the system. Each payer's portal works differently. Each provider has preferences about how their day is booked. Each billing client has exceptions the account manager remembers and nobody wrote down.

Then the front desk turns over, and the new hire learns from whoever is least busy that week. A written procedure that says what to decide, not just what to click, shortens that. ## What does an eligibility check look like as a procedure?

This is an illustrative example. It shows the format, not any payer's rules or your office's policy.

A click log says:

SopWow says:

> Run eligibility for the date of service, not today's date, so the response reflects coverage on the day of the visit. If the plan shows inactive or the member ID does not match, ask the patient for a current card before the visit rather than leaving it for billing. The first tells a new hire which button to press. The second tells them what to do with the answer.

The branches come from the person who recorded it. After the recording, SopWow asks what a recording cannot show, such as what happens when coverage comes back inactive. Anything the AI added that it did not observe stays flagged until a person on your team keeps or removes it.

## What won't SopWow do for a medical office?

**It does not handle clinical work.** SopWow is for administrative procedures. It does not document or advise on clinical care, coding, or medical decisions.

**It only records the browser.** Desktop practice management clients, EHRs delivered through remote desktop or Citrix, phone calls, and paper steps are not captured. Steps outside the browser can be added by hand in review.

**It does not integrate with your systems.** SopWow records work done in browser-based practice management systems, EHR front-office screens, and payer portals. It does not connect to them or read their data.

**It is not a compliance tool.** SopWow does not certify that a procedure meets HIPAA, a payer contract, or any other law, regulation, or accreditation standard.

It records work done in whichever of them runs in Chrome or Edge. It does not integrate with any of them. If your system runs as a desktop application or through remote desktop, those steps are not captured.
