Should you write SOPs by hand or let AI draft them from the work?

What does writing an SOP by hand actually involve?

Here is the manual path for a typical browser-based task, such as issuing a certificate of insurance, running a payroll batch, or entering a new load.

  1. Find the time. The person who knows the task best is usually the busiest. The SOP waits until they have a free afternoon, which may be never.
  2. Do the task while taking notes. They work through it slowly, stopping to jot down each step and take a screenshot. The task takes longer than usual because they keep switching between the work and the notes.
  3. Crop and redact the screenshots. Every screenshot needs cropping to the relevant area. Anything showing client names, account numbers, or other private data has to be blurred or boxed out, one image at a time.
  4. Write the steps. Notes like "then the dropdown" become full sentences someone else can follow. This is where the blank page lives.
  5. Explain the decisions. The writer has to remember every point where they made a choice without thinking, and explain when each option applies. This is the step most often skipped, because the expert no longer notices they are deciding.
  6. Format it. Headings, numbering, screenshots in the right places, a consistent template.
  7. Get it reviewed. Someone else tries to follow it, finds the gaps, and sends it back. Another round of edits follows.

What does the SopWow workflow look like?

How long does it take to write an SOP?

It depends on the task, the writer, and how many review rounds it needs, so any single number would be a guess. The honest answer is to time your own.

When is writing an SOP by hand still the right call?

SopWow is not the right tool for every procedure. Write by hand when:

  • The work happens outside the browser. SopWow records browser tabs only. Desktop applications, remote desktop and Citrix sessions, phone calls, and paper steps are not captured. If a task is mostly one of these, write it by hand. If it is mostly browser work with a few outside steps, those steps can be added by hand during review.
  • It is a judgment-heavy policy, not a task. A refund policy, a client escalation standard, or a code of conduct is about rules and reasons, not clicks. There is nothing to record. Write it yourself.
  • It is a one-off task. If the work will never be repeated, a quick note is often enough, and a formal SOP is more than it needs.
  • The task is short and obvious. Three clicks with no choices may not need an SOP at all.

What stays the same either way?

Some things do not change with the tool.

  • A person is responsible for the result. Whether a human writes it or an AI drafts it, someone who knows the work has to read it and approve it. SopWow requires that approval.

Is an AI-drafted SOP as good as a hand-written one?

Do I still need to write anything?

Can SopWow rewrite SOPs I already have?

Not from the document. SopWow does not import existing SOP files today. To update an old procedure, record the task as it is done now and review the new draft.

What if part of the task happens outside the browser?
