FAQ

What do people ask before they try SopWow?

Quick answer

Mostly four things: what the recorder captures, what happens to client data, what the finished SOP looks like, and how billing works. In short: SopWow records which page, field, and button you used in Chrome or Edge, not what you typed. It redacts identifiable data in your browser, never sends screenshots to an AI model, writes an SOP with decision points, and charges only for SOPs you approve. Your first 3 are free.

Each answer below stands on its own. If your question is not here, send it through the contact page.

How does recording work?

What is SopWow?

SopWow is an AI SOP writer for back-office work that happens in a browser. A worker records a task while doing it the normal way, the AI writes the standard operating procedure and asks about anything the recording cannot explain, and a person reviews and approves the result. It is an Uncovered product, built first for insurance agency back offices.

Which browsers does SopWow work in?

Chrome and Edge, on Windows and Mac. The recorder is a browser extension you install once, then use from the toolbar whenever you have a task to document. It works in whatever browser-based system you already use, whether that is an agency management system, a billing portal, or a practice management screen.

How do I record a task?

Open the system where the task happens, click the SopWow icon, and type a short description of what you are about to do. Click Start recording, do the task at normal speed, then click Stop and generate SOP. A visible REC indicator shows which tab is being captured while you work.

Do I have to narrate, film myself, or write anything?

No. There is no camera, no narration, and no blank page. After you stop, SopWow asks a few written questions about the things a recording cannot show, such as why you picked one option over another. You answer in a sentence or two.

Does SopWow record my other tabs or desktop programs?

No. Only the tab showing the REC indicator is recorded. Other tabs, desktop applications, remote desktop and Citrix sessions, and paper steps are not captured. If a procedure needs those steps, add them by hand during review. The full walkthrough is on how SopWow turns a recording into an SOP.

What happens to my data?

What exactly does the recorder capture?

Element descriptors: which button you clicked, which field you used, which page you were on. It also takes screenshots of the recorded tab to build the visual guide. It does not capture the values you type into fields, so the premium, the date of birth, or the account number you entered is not part of the recording text.

What gets redacted, and can redaction miss anything?

Identifying data with a recognizable shape, such as Social Security numbers, card numbers, policy numbers, emails, phone numbers, and street addresses, is redacted in your browser before text is sent to any AI model, export, or sync. Redaction is pattern based, so it can miss data without a recognizable shape: names in free text, unusual ID formats, and anything inside a screenshot. That is why a person reviews every SOP, including a redaction check, before approving it.

Are screenshots sent to an AI model?

No. Screenshots are never sent to any AI model. They are used to build the visual step-by-step guide and stay in your workspace. Because a screenshot shows whatever was on screen, check each one during review, or record with a test record.

Is SopWow SOC 2 certified or HIPAA compliant?

No. SopWow does not claim SOC 2, ISO 27001, PCI, HIPAA compliance, GDPR certification, or a BAA. Teams that handle regulated data should contact us before recording, and should record in a training or sandbox account with test records. The details, and what SopWow does not claim, are on how SopWow handles client data.

Who owns the SOPs?

You do. You can export every SOP in every format: the visual guide, the Word document, Markdown, and the PDF. The SopWow portal syncs only SOP titles, step counts, and usage metering, not document contents.

Is my content used to train AI models?

Not your content itself. SopWow does not use your SOP text, screenshots, recordings, prompts, or outputs as training input, and it does not disclose or reuse your SOPs or procedures for other customers. It does use content-free usage signals and de-identified data, generalized and combined across multiple customers so it does not identify you or reveal your procedures, to improve the product, including training models and building general SOP templates. Enterprise customers can opt out of the model-training use by emailing privacy@sopwow.com. The full wording is in the privacy policy.

Which AI model does SopWow use?

SopWow is model-agnostic. You can use SopWow's managed model, or bring your own API key for a model provider you choose. Either way, text is redacted in your browser before it is sent, and screenshots are never sent to any AI model.

How long does SopWow keep my SOPs?

On a paid plan, for as long as your subscription is active. If you cancel, you keep access until the end of the period you paid for, then get 90 days of read-only access with export, and then the SOPs are deleted. On the free trial, SOPs are kept for 60 days from signup, then deleted unless you have downloaded or exported them, or upgraded. You get warnings on days 23, 46, 57, and 59, and a PDF export is available the whole time.

What do I get?

What does a finished SOP include?

A procedure someone else can follow, not a list of clicks. Steps are grouped into phases, with screenshots, and every branch point in the task is written up as a decision: when each option is right, what a wrong choice costs, and which option you took in the recording as the worked example. Anything the AI added that it did not directly observe is flagged until a person keeps or removes it.

What formats can I export?

Four, on every plan: a visual step-by-step guide with phases and screenshots, a Word document, clean Markdown built for knowledge bases and AI copilots, and a print-ready PDF. The guide suits training, the Word file suits the procedures binder and hand edits, the PDF suits the desk and the audit folder, and the Markdown drops into a wiki.

What is the Refine pass?

The Refine pass, included on Team and Business plans, turns a good procedure into a training-grade one. It adds per-step reasoning, a glossary for new hires, decision tables, common problems, a completion checklist, and notes on where automation could take over.

Can I edit the SOP after the AI writes it?

Yes. In review you can edit any step in plain English: reword an instruction, correct a decision rule, rename a phase, or add a step that happened outside the browser, such as a call to a carrier or a signature on paper. Edits are free and never count toward your plan. Only approval does.

How is SopWow different from a click logger or screen recorder?

Click loggers write down what you did. SopWow writes down what to do. A click log says "Select No and click Next." SopWow says when to pick No, when to pick Yes, what changes if you pick wrong, and which one you picked in this run.

How does billing work?

How much does SopWow cost?

Starter is $39 a month with 15 SOPs included, then $5 per SOP. Team is $99 a month with 50 included, then $4 per SOP, and adds the Refine pass and priority support. Business is $249 a month with 150 included, then $3 per SOP, with knowledge-base bundles and onboarding help. This is launch pricing. The plans and worked examples are on SopWow pricing, billed per approved SOP.

What counts as a finished SOP?

A finished SOP is one you approve. Drafts, rejected drafts, re-recordings, and edits are free. Only approval counts toward your plan. If you record a certificate of insurance task three times and approve the third draft, that is one SOP. If you reject a draft, that is none.

Is there a free trial?

Yes. Your first 3 SOPs are free, with no card required, and the trial includes every export format. Drafts and re-recordings during the trial do not use up those 3; only approvals do. Pick tasks you know well so you can judge the output on its merits.

What happens if I approve more SOPs than my plan includes?

Each extra approved SOP is billed at your plan's rate: $5 on Starter, $4 on Team, and $3 on Business. For example, approving 18 SOPs in a month on Starter means 15 included plus 3 at $5 each, or $15 on top of the $39 plan.

How many SOPs can I store?

Starter stores 50 SOPs, Team stores 250, and Business has no storage cap. You get a warning at 80%. Going over blocks new saves until you delete SOPs, add storage, or upgrade. It never deletes or hides SOPs you already have. Storage add-ons are available on Starter and Team.

Why charge per SOP instead of per seat?

Because the value is the procedure, not the login. The person who records a task and the person who reviews it are often different people, and neither should be a monthly line item. The price is set by how many SOPs you approve, not by how many people are in the office.

Who is SopWow for?

Who is SopWow built for?

Back offices whose work happens in browser-based systems. The anchor is insurance agencies: certificates of insurance, endorsements, renewals, claims intake, client records, and moving onto a new agency management system. The buyer is usually an owner, operations manager, office manager, or agency principal.

Does SopWow work outside insurance?

Yes, if the work happens in a browser. Medical and dental front offices, accounting and bookkeeping firms, law firms, trucking and freight offices, property management, staffing, nonprofits, and financial services teams all do their work in browser-based portals. The recorder works the same way in each.

Who should do the recording?

The person who already knows how to do the task, usually the one everyone asks when it comes up. They do it once, the normal way, with the recorder running. It works well when the person who owns the process does the review, so the procedure gets checked by someone other than the recorder.

What doesn't SopWow do?

Does SopWow integrate with my agency management system or CRM?

No. SopWow records work inside browser-based systems; it does not integrate with them. It has no connection to your systems' databases, and it does not change anything in them. It records which page, field, and button you use while the recorder is running.

Does SopWow check whether my procedures are compliant?

No. SopWow is not a compliance tool. It writes down how your office does a task, and it does not certify that a procedure meets any law, regulation, carrier rule, or accreditation standard. The person who approves the SOP owns that judgment.

Does SopWow capture work automatically in the background?

No. You decide what to record. Recording starts when you click Start recording and stops when you click Stop, and only the tab showing REC is captured. SopWow does not watch your day or go looking for workflows to document; a person picks the task and runs it.

Ready to try it on a task you know well?

Record one task and see the finished SOP before you pay anything. Your first 3 SOPs are free, with no card required.
