What does SopWow cost, and what counts as a finished SOP?

Quick answer

SopWow charges per finished SOP, not per seat. A finished SOP is one you approve: drafts, rejected drafts, re-recordings, and edits are free, and only approval counts toward your plan. Your first 3 SOPs are free with no card. Starter is $39 a month for 15 SOPs, Team is $99 for 50, and Business is $249 for 150. After the included amount, each extra approved SOP costs $5, $4, or $3.

You pay for procedures you decided were good enough to keep. Everything before that point costs nothing.

Every plan includes the recorder, the writer, and every export format: the visual step-by-step guide, the Word document, clean Markdown, and the print-ready PDF.

The Refine pass comes with Team and Business. It turns a good procedure into a training-grade one, adding per-step reasoning, a glossary for new hires, decision tables, common problems, a completion checklist, and notes on where automation could take over.

What counts as a finished SOP?

A finished SOP is one you approve. That is the only event that counts toward your plan.

Approval happens at the end of review, after a person has kept or removed every claim the AI added and checked the draft for client data. Until then the SOP is a draft, and drafts are free no matter how many you make or how many times you change them.

These never count:

  • Drafts
  • Rejected drafts
  • Re-recordings of the same task
  • Edits made during review
  • Answers to the AI's questions

The rule exists because a tool that bills when it generates something gets paid for its own mistakes. A procedure you threw away should not cost you anything.

  • Starter, busy month. You approve 18 SOPs. The first 15 are included. The other 3 cost $5 each, so $15 on top of the $39 plan, or $54 for the month.
  • Team, documentation push. You approve 55 SOPs. The first 50 are included. The other 5 cost $4 each, so $20 on top of the $99 plan, or $119 for the month.

The trial works the same way. Your first 3 approved SOPs are free. Drafts and re-recordings during the trial do not use them up.

How many SOPs can you store?

Each plan has a storage cap, separate from the monthly allowance:

You get a warning at 80% of your cap. If you go over, SopWow blocks new saves until you delete SOPs, add storage, or upgrade. It never deletes or hides SOPs you already have. Storage add-ons are available on Starter and Team.

Trial SOPs are kept for 60 days from signup, and you can export any of them as a PDF at any point in that window. After 60 days they are deleted unless you have downloaded or exported them, or upgraded. On a paid plan, SOPs are kept while your subscription is active. If you cancel, you keep access until the end of the paid period, then get 90 days of read-only access with export before deletion.

Why per SOP instead of per seat?

Because the value is the procedure, not the login.

Documentation work is lumpy. An office writes a burst of SOPs before a new hire starts, during a system migration, or ahead of an audit, and then writes a few a month. Per-seat pricing charges for every person in every month whether anything got written or not.

It also punishes the right behavior. The best person to record a task is whoever does it every day, and the best person to review it is whoever owns the process. On a seat plan, each of those people is a line item. On SopWow, the price is set by how many SOPs you approve, not by how many people touch them.

Which plan fits which office?

  • Trial if you want to see a real SOP from your own work before paying anything. Record three tasks you know well.
  • Starter if one team is documenting its core tasks: a commercial lines desk writing its COI, endorsement, and renewal procedures, or a medical front desk writing check-in and eligibility steps.

What is the wholesale track?

Frequently asked questions

Do I need a card to try SopWow?

No. The trial covers your first 3 SOPs with no card required, and it includes every export format.

Do rejected drafts or re-recordings cost anything?

No. Only approval counts. You can record a task as many times as you need and reject drafts you do not want, and none of that touches your plan.

What happens if I approve more SOPs than my plan includes?

Each extra approved SOP is billed at your plan's rate: $5 on Starter, $4 on Team, $3 on Business.

What happens if I reach my storage cap?

You get a warning at 80%. Past the cap, new saves are blocked until you delete SOPs, add storage, or upgrade. Nothing you already have is deleted or hidden. Starter stores 50 SOPs, Team 250, and Business has no cap.

Is there a charge per user?

No. SopWow is priced per finished SOP, not per seat.
